What the Executive Board is accountable for

  • Setting strategic direction, approving major initiatives, and aligning to the mission and bylaws.
  • Running quarterly meetings, maintaining records, and overseeing committees and class/region representatives.
  • Ensuring transparency in finances, scholarships, fundraising, and communications.
  • Upholding the alumni Code of Conduct with fair processes for suspension or expulsion when needed.

Advisory roles: Faculty Liaison, PTA Liaison, and Founding President Emeritus provide counsel and continuity.

Expanding representation across classes and regions

Class & regional leaders

Class Year Representatives: Senior class presidents (or VPs) serve as liaisons for their graduating class, maintaining class records and outreach.

Regional Ambassadors: Appointed volunteers who gather alumni by geography and host informal meetups.

Committees

Standing committees: Events and Reunions; Communications and Media; Alumni Awards; Fundraising and Scholarships; Mentorship and Student Relations.

Chairs are appointed by the President (with EVP input) and recruit alumni volunteers to drive programs.

Advisory board

Includes Faculty Liaison (principal or designee), PTA Liaison, and Founding President Emeritus. They offer institutional insight and legacy continuity; they are non-voting but deeply consultative.

Elections

Two-year terms with clear milestones

Terms: 2 years, renewable once. Any alumnus in good standing is eligible within term limits.

  • Announcement: 120 days before term end with open call for nominations.
  • Nominations: Open at 90 days; close at 60 days (self- or peer-nominated with consent).
  • Campaign: Candidate materials and outreach 45-15 days prior.
  • Voting window: Digital ballots for at least 5 days between days 15-7; secret ballot.
  • Certification and transition: Results certified within 3 days; board ratification within 7 days; onboarding within 14 days.

Oversight: Election committee led by the Secretary with the Treasurer and a neutral observer; complaints reviewed within 3 business days.

Officer support

Keeping finances and records aligned

Chief Financial Officer (CFO)

Reports to the Treasurer; manages financial data, fundraising tracking, and supports budget presentations and reimbursement logistics.

Chief Administrative Officer (CAO)

Reports to the Secretary; manages meeting logistics, agendas, minutes formatting, and document integrity. Does not hold voting power unless separately elected.

Oversight & ethics

Both roles must respect confidentiality, avoid altering each other's work, and coordinate on reports. The President may override directives in conflicts and may intervene for ethics or emergency needs.

Specialized leaders who power our programs

Directors and ambassadors partner with board officers to deliver programs and deepen alumni ties.

Director of Alumni Engagement

Reports to the VP of Alumni Engagement. Executes engagement campaigns, supports alumni networking programs, and helps coordinate regional meetups.

Director of Communications

Manages all outward-facing communications, including email campaigns, social media, the alumni website, and press releases. Ensures brand consistency and effective storytelling.

Director of Student-Alumni Relations

Facilitates mentorship programs, career panels, and internship pipelines. Strengthens ties between current students and alumni, often working with school counselors and clubs.

Director of Events & Reunions

Leads the planning and execution of alumni events - especially milestone reunions and annual gatherings. Coordinates logistics, RSVPs, catering, and programming.

Regional Ambassadors

Appointed by the board or recruited voluntarily, Regional Ambassadors promote alumni unity in geographic clusters. They host informal gatherings and help with regional outreach.

Advisory Board

Policy and key liaisons

The Advisory Board offers institutional insight and strategic guidance without Executive Board voting rights.

The Advisory Board consists of individuals who provide community representation and legacy preservation support. Their input is highly valued in planning, outreach, and long-range stewardship.

Expectations for all advisory members

  • Attend general meetings upon invitation.
  • Provide input on matters of policy, partnerships, and outreach.
  • Serve as ambassadors of the Association to their constituencies.
  • Collaborate with Executive Board members as needed to further the mission and vision.

Advisory Board members play a critical support role in ensuring long-term sustainability and community trust in the Association.

Faculty Liaison

Dr. Bostic, the current principal of Wootton High School, or a designee chosen by the principal holds this seat.

Provides administrative insight and serves as the direct communication channel between the school and the Alumni Association.

PTA Liaison

Brian Rabin, Wootton PTA President, or his official designee serves in this liaison role.

Promotes parent-alumni collaboration, particularly around scholarship, mentoring, and volunteerism.

Founding President Emeritus

A lifetime role held by the Association's founder.

Offers historical memory, advisory input, and symbolic leadership.
